OAU update on hostel accommodation balloting for returning students

The Division of Student Affairs wishes to inform all returning undergraduate students of the following updates, further to its notice dated 28th October 2026 regarding the bedspace balloting exercise scheduled for 27th October 2026:

1. The Division states that the e-portal hosting the Hostel Management System (HMS), on which the balloting exercise was scheduled to take place, was inaccessible during the period.

2. The Division states that the technical service provider later clarified that an App had been developed but had not been officially launched or approved by the University Management.

3. The Division states that the service provider expressed regret over the activation of the App for the balloting exercise without prior notification to the Division of Student Affairs (DSA) and adequate communication to the students.

4. The Division noted that using an unfamiliar platform for such an important exercise without prior notification and adequate instructions would be unfair to students. It further states that this action contradicted the initial directive issued by the DSA that students should conduct their balloting through the e-portal.

5. The Division maintains that the bedspace balloting exercise scheduled for 27th October 2026 was disrupted by network congestion on the e-portal. Consequently, the Division declares that any unauthorised process undertaken in connection with the exercise is hereby declared null and void.

6. The Division states that the bedspace balloting exercise for returning undergraduate students will be rescheduled as soon as possible. It assures that adequate information and clear instructions on the procedure for the exercise will be communicated to students in due course.

7. The Division reiterates its commitment to ensuring a fair, transparent, and orderly balloting process for all students.

8. The Division appreciates the patience, understanding, and cooperation of all students and regrets any inconvenience caused by this development.

Thank you.
